We have different types of errors we encounter everyday in processing EIN orders. See the info below:
- Duplicate Name
- 101 Error Sole Proprietor - this signifies that they have an old EIN for the Sole proprietor already. The reason why we know that they have one is that you can only have one Sole Proprietor EIN forever and that will be associated with your SSN.
- 101 Error LLC - the business name that they have used may have been registered already in the IRS with a different business owner or the business already has an EIN.
- Wrong SSN - their SSN and their name combo are mismatched.
- Incorrect Address - their address was not recognized by the IRS database.

Duplicate Name (LLC and Sole Proprietor)
If an order has a specific error, then most of the time, our bot will automatically detect it and send an email to the customer. Occasionally, however, we may need to send a manual email if the error is not recognized by the bot. Here are the macros we use to send these emails:
- If the error in the customer's application says INCORRECT ADDRESS, we send the macro "Incorrect Address".

Hello Name,
We are working on your EIN order but we noticed the address did not come through correctly on our form.
Can you please respond to this email with the correct address including: street, city, state, and zip code.

- If the error in the customer's application says INCORRECT SSN, we send the macro "SSN Number Not Recognized by IRS".

Hello Name,
We are working on your EIN number, but needed to confirm your information as the IRS is not accepting the information you submitted in our form.
Can you confirm to us your first name, last name, and SSN? Also is it a SSN or ITIN?
If you would rather not send that information in the email, please let us know and we will give you a call to confirm.

- If the error in the customer's application says ERROR 101-LLC, we send the macro "Business name duplicate - Suggest SS4".
Hello Name,
We are working on your EIN order but have been informed by the IRS that your business name is similar to another one already registered or your business already has an EIN number.
There are 3 different options to help you get your EIN number.
Option 1:
If you think you might have an EIN number but have forgotten it, we can help you retrieve it.
Option 2:
If you know for sure that you do not have an EIN number and you have not yet registered your name with the state, then we would suggest you alter the name a bit so that it is more unique.
Option 3:
If you have already registered it with your state, then we will need to prepare an SS4 form for you to electronically sign so that we can fax it to the IRS in order to get your EIN number.
This service will take a bit longer. Normally it's 5-7 business days but it's closer to 15 business days now because of the delay in processing SS4 forms because of COVID19.

Sample Ticket: Error 101-LLC Sole Proprietorship and EIN Lookup
Hello Name,
We are having problems registering an EIN number with the information you provided in the application.
As we have worked with the IRS for a long time, the errors we are encountering with your application usually indicate that you have registered an EIN yourself as a sole proprietor before and you cannot have more than one as a sole proprietor.
There are 2 different options to get your EIN number:
Option 1:
You register as a 1-member LLC instead and use a unique business name instead of your own personal name. For example, most people use a business name format such as "last name + service you provide + LLC" or similar if available. Keep in mind that you will eventually need to sign up with the Secretary of State in your state for the LLC as well.
Going with a 1-member LLC is safer than a sole proprietor anyways because it separates business assets with your personal ones. In addition, an LLC is a pass-thru taxable entity, so you do not need to file separate business taxes. So in that sense, it is very similar to the sole proprietor.
Option 2:
If you do not want to go with LLC and want to stick with sole proprietor, you will need to use your old EIN number. If you do not remember it, we can help you retrieve it.
